If you have activated Agents you may start to receive Agent Reservations and Requests.
You can determine whether agents have access to make Reservations (confirmed bookings) or Requests (bookings that require confirmation by you). For more details on agent access see Activating Booking Channels
Responding to an Agent Reservation
A “New Booking” email will be sent to you following a booking made by an agent using RoomBoss. New Booking emails are sent to the email address registered to your RoomBoss account.
An Agent booking is using availability from your inventory. A “New Booking” email contains:
- Booking ID, and name of agent.
- Details of the product the agent has selected, including dates, number of guests, order options such as bedding configuration and breakfasts.
- A message from the agent, if any.
To open the booking:
Navigate → Bookings → Search Bookings
You can search for the booking using using booking number and the Search by ID tab.
Check the details, you can clarify details with the agent or respond to their questions by replying to the “New Booking” email.
Responding to an Agent Request
A “New Booking REQUEST” email will be sent to you following a booking Request made by an agent using RoomBoss. New Booking emails are sent to the email address registered to your RoomBoss account.
An Agent booking Request is not using availability from your inventory. A “New Booking REQUEST” email contains:
- Booking ID, and name of agent.
- Details of the product the agent has selected, including dates, number of guests, order options such as bedding configuration and breakfasts.
- A message from the agent, if any.
To open the booking:
Navigate → Bookings → Search Bookings
You can search for the booking using using booking number and the Search by ID tab.
Check the details, you can clarify details with the agent or respond to their questions by replying to the “New Booking REQUEST” email.
If you wish to confirm the booking click Booking Status – Edit and change the Order Type to Reservation and click Save. Once this change has been saved, a notification email will be sent to you, the agent and the guest.
