This page contains information about day to day use of the channel manager integration.
Once you have a channel manager link completed and have set availability on the RoomBoss side and have completed setup, added rates etc on the channel manager and OTA side, new bookings made on OTAs will be created inside your RoomBoss account.
When a new OTA booking is made:
- It will have Reservation status.
- It will use the rate sent by the channel manager (see note on Expedia collect below).
- The booking source will be listed as your channel manager.
- The booking Segment will show the OTA.
- The booking custom id will be the OTA booking number.
- Information from the channel manager such as bedding configuration will be added in the booking notes.
- You will receive a new booking email from RoomBoss.
Making changes to OTA/Channel manager bookings
The best course of action if you wish to change a channel manager/OTA booking is to request the changes are made via the OTA either by contacting the OTA or asking the guest to do so. Changes made on the OTA will update the booking in RoomBoss.
- If a booking dates or status are been changed inside RoomBoss it may not be possible for changes made via the OTA to update the booking.
- Changing the price of a booking will not prevent booking updates, however it may be difficult to reconcile bookings if the price on the OTA differs from the price in RoomBoss.

Ask the guest to cancel the booking via the OTA.
What do I do if a guest asks to change a booking?
Ask the guest to request changes to the booking via the OTA.
How do I take payment on a channel manager booking?
Channel manager bookings and payments can be managed in the same way as any other direct booking. If your channel manager / OTA provides credit card details you can charge these and add paid invoices to the booking. It is also possible to use the guest intranet to take payment in the same way as you would for any direct guest.
A note about Expedia payment methods
Expedia has 2 payment methods Expedia collect (Expedia takes payment from the guest) and Hotel collect (Hotel takes payment from the guest) . If using Expedia collect then the price that they send via your channel manager to RoomBoss (the price that is shown on the booking) will be the net price, if using Hotel collect the price sent to RoomBoss will be the gross price. If you are using Expedia Collect and want to use the guest intranet to present bookings to your guest you should update the booking sell inside RoomBoss to be the gross price before sending the link.
If you are using Siteminder as your channel manager it is possible to set “Reservation Commission Percentage” on a channel by channel basis to manage this.
